Reviewing Your W2 Fields for Deduction and Earning Codes

It’s important to review your W2 Fields before W2s are printed at the end of the year to ensure accuracy.

Enable W2 Field Viewing

Add the W2 Field to your Earnings and Deductions page.

  • Navigate to Company → Company Setup → Earnings or Deductions → Grid Options. This will open the Grid Options pop-up.

  • Check the W2 Field checkbox. Select Close. The Earnings or Deductions page will update to show the W2 Field column.

Export W2 Information

You can export the Earnings and Deductions pages as an Excel sheet by selecting Export in the top right corner.

Things to Note

IMPORTANT:

  • All regular earnings are automatically shown in box 1 (Federal Wages, Tips, Other Compensation), box 3 (Social Security Wages), and box 5 (Medicare Wages and Tips) of the W2 form
  • Please avoid pulling in box 1 for these earnings, as this will result in the double-reporting of wages and create inaccurate W-2 forms for your employees.
  • Review your taxability settings—if an item is exempt from federal tax, Social Security, or Medicare, the wages will not appear in the corresponding boxes on the W-2.
  • Most after-tax deductions/reimbursements (unrelated to retirement contributions) do not appear on the W2.
