Notifications Overview

Notifications

The HR Admin/Communications section has been enhanced to include a Notifications option. Notifications for ESS Change requests and certifications, sent via Message Center or Message Center and email, can be built and configured for distribution to designated users with Admin or Manager roles.

Note: Most of the notification request types are included in the HR Premier package.

For changes in the below areas, Admin or Manager roles will receive notifications for ESS Change requests as per the notification parameters:

  • ADA
  • Beneficiary
  • Dependents
  • Direct Deposits
  • Emergency Contacts
  • Employee Custom Info
  • Employee Info
    • Employee Demographic Change Request
  • FMLA
  • Skills
  • Taxes
  • Time Off

For compliance or certification date notifications, Admin or Manager roles will receive notifications as per the notification parameters:

  • ACA
  • Certifications
  • Employee Info
    • Employee Anniversary Date
    • Employee Birth Date
    • Employee Visa Expiring

Approving Changes

The new Notifications option has not changed the process for reviewing / approving employee change requests.

To review and approve change requests, the user still needs to have that request type assigned to their account through the Security Control Center.

Notifications complements Dashboard Requests and/or the HR Admin/Communications/Requests/Approval process by alerting Admin users and/or Managers via the Message Center and Email (if selected) of this activity.

Company

From the Company tab, the user can edit existing notifications or “Add New.”

When adding a new notification, first select from the Category list.

Once you select the Category, specify the Notification type (Notification), and when to Notify (Data Collection Type). Once the Category is selected, the other options are filtered to display the selections applicable to that category.

Notice the user can also preview the notification email via the Preview option.

Note: The Notification “rule” must be set to “Active” for the notification rule to be active in the system.

3-NotificationActivate

Once the Notification rule is defined, specify which users will receive the notification and specify the delivery method. When specifying the delivery type for the notification, the notification can be sent to the Message Center only, or Message Center and Email. It cannot be delivered via email only.

History

This tab displays a list of notifications that have been sent.

For more details on specific notifications, navigate to the Employees tab.

Please note: While notifications are delivered to third party users, they are not currently available to view in the History tab. This functionality will be addressed in a future release.

Employees

From the Employees tab, the user can view more details regarding the notifications that were sent.

To see more detail regarding the notification, select the pencil icon to open the Notification.

When viewing the Notification details, in addition to providing information on if/when the employee read the message, what the message pertains to, and the delivery method, the user can select “View Email” to see the delivered email notification.

7-MessageCenter

Message Delivery

Depending on the delivery method selected, messages will be delivered to the employee via the Message Center or via the Message Center and Email. The number of delivered but unread messages the employee has received will be displayed alongside the “Messages” option in the Checkwriters menu or the email envelope icon.

Emails are delivered to designated users from “notifications@mg.checkwriters.com.”

From within the Message Center, messages can be searched, sorted, and filtered.
